What accounts package will work best for your business?
Streamlining Your Business Accounts: Finding the Right System
As a business owner who has experimented with various accounting packages, I’ve found that choosing the right one can dramatically impact your efficiency and bottom line. Today, I want to share my experience with Xero and explore other options available in the market. I tried some of them a few times before I got to grips with Xero and then went on to do the training to advise on it – but only so I understood what I was doing. Once set up it makes reconciling costs and invoices a doddle with only a few minutes a day needed to keep it up to date and show you where your business is at any one time. Your VAT return will be as up-to-date as your admin and you can easily add new suppliers and customers. Peace of mind is just one of the many benefits of paying for a professional system.
Why Xero Stands Out
Xero has become my go-to accounts package, primarily due to its integration capabilities. What sets it apart is its seamless connection with major e-commerce platforms and other useful apps via specialized third-party apps:
- E-commerce Integration: Through A2X, Xero automatically processes sales data from Amazon and eBay, eliminating manual data entry and reducing errors
- Document Management: Hubdoc (now included free with Xero) automatically fetches and uploads invoices and receipts, creating a paperless system that’s both efficient and organized – just add it to your phone when out and about and you can scan receipts for your EA to match to the bank account.. no more shoe boxes of receipts to plough through!
- Tax Compliance: The platform simplifies VAT and tax returns by keeping all necessary documentation in one place and automatically calculating tax obligations – and is as up to date as your admin.
Cost-Saving Benefits
The initial investment in Xero has paid for itself through:
- Reduced accountant fees (less time needed for basic bookkeeping)
- Automated receipt processing
- Time saved on manual data entry
- Fewer errors in financial reporting

What will work for you?
While I’ve found Xero with its e-commerce integrations ideal for my business, the best solution depends on your specific needs. For new businesses, starting with bank-provided or free software might make sense, while growing businesses might benefit from more sophisticated solutions like Xero or QuickBooks.
Remember that switching systems later can be challenging, so consider your long-term needs when making your choice. The right accounting system should grow with your business while keeping your financial management efficient and compliant. It should also be easy for you or an executive assistant to access and use or it won’t happen.
